Who we are

VolunTails (the “Service”) is operated by Craftloop, a sole proprietorship based in Urbandale, Iowa, USA. References to “we,” “us,” or “our” in this policy mean Craftloop. You can reach us at support@voluntails.com.

What this policy covers

This policy describes the personal data we collect from animal-shelter administrators and volunteers who use VolunTails, how we use that data, who we share it with, and the rights you have to control it. It covers our website at voluntails.com, the application at app.voluntails.com, and our API at api.voluntails.com.

Information we collect

We collect only what we need to operate the Service:

• Account information — name, email address, phone number, time zone, and a hashed password (or a third-party sign-in identifier from Google or Apple) when you create an account.
• Profile and shelter information — your role within an organization, optional photo, and any custom fields a shelter administrator asks new volunteers to fill out at signup.
• Activity within the Service — shifts you create or claim, messages you send through the platform, training records, and incident reports.
• Technical data — IP address, browser type, device information, and request timestamps. We use this for security and to debug issues.
• Billing data — if you subscribe to a paid plan, our payment processor (Stripe) collects card details directly. We never see or store your full card number.

How we use your information

• To provide the Service: scheduling, messaging, notifications, and reporting.
• To send you transactional messages: shift reminders, alerts when a shift you signed up for changes, urgent coverage requests, and verification codes during sign-up. You may turn most SMS notifications off in your account settings; account-security messages such as verification codes and STOP / HELP responses are required and cannot be disabled.
• To bill you for paid subscriptions and to communicate about your account.
• To prevent abuse and to comply with our legal obligations.

We do not sell your personal information. We do not use your data to train advertising models, and we do not show third-party ads.

SMS messages and consent

If you opt in to SMS during signup, you agree to receive text messages from VolunTails at the phone number you provide. Message frequency varies based on your activity (typically a few per week). Message and data rates may apply. You can opt out at any time by replying STOP to any message, or by toggling SMS notifications off in your account settings. Reply HELP for help, or contact support@voluntails.com. Carriers are not liable for delayed or undelivered messages. Your phone number and SMS-consent status are never shared with third parties for their own marketing purposes.

Who we share data with

We share data only with vendors that help us run the Service, and only the minimum necessary:

• Google Cloud Platform — hosting and database (United States).
• Firebase Authentication (Google) — account sign-in and identity.
• Twilio — SMS delivery and phone-number verification.
• SendGrid (Twilio) — email delivery and inbound volunteer-form intake.
• Stripe — payment processing for paid subscriptions.
• Anthropic — the Claude API processes shelter-provided form text to extract volunteer fields. No personal data from one shelter is ever shown to another.
• Cloudflare — DNS, edge caching, and DDoS protection for our marketing site.

We may also disclose data when required by law, to protect rights and safety, or in connection with a sale of the business, in which case the buyer must continue to honor this policy.

How long we keep data

We keep your account data while your account is active. If you delete your account, we delete your personal profile within 30 days. We retain anonymized usage data and billing records for the period required by tax and accounting law (typically seven years).

Your rights

You can review and update your profile in the app at any time. To delete your account, use the “Delete account” option in Settings or email support@voluntails.com. If you live in California, the EU, the UK, or another jurisdiction with specific data-rights laws, you also have the right to request a copy of your data, ask us to correct it, ask us to delete it, or object to certain uses. Contact us and we will respond within the period required by applicable law.

Children

VolunTails is intended for users 13 years of age or older. We do not knowingly collect personal data from children under 13. If you believe a child has created an account, contact us and we will delete it.

Security

We use TLS for all data in transit and rely on Google Cloud and Firebase for at-rest encryption and access controls. No system is perfectly secure; if you discover a vulnerability, please email support@voluntails.com.

Changes to this policy

If we make material changes, we will email account holders and update the “Last updated” date above. Continued use of the Service after a change constitutes acceptance of the updated policy.
